Getting started on Zoom
If you haven’t used Zoom before then here are the steps when using a WINDOWS PC/laptop (see further down for Android/iPad/iphone)
PLEASE REVIEW THE WHOLE DOCUMENT BFORE STARTING
You will be emailed an invite for the meeting that will contain a link to join the meeting. The link part of the invite will look something like:
Meeting ID: 718 2222 1111
The link includes the meeting i.d. and the password encrypted (long string of letters and numbers)
You may be asked to enter the password if the Host has decided that a password is needed to protect access to the meeting (only if you are NOT using the link in the invite).
Occasionally, depending on the device used, instead of an email advising you of the link, the meeting may be directed into your calendar. You may click the link from within the calendar entry.
Click the link in the invite
You will see a screen similar to
Click Download and Run
This will download a file
Click the download file and you will then have a security prompt
You will be prompted to Enter your name so the organiser can see who has joined, then:-
You will then either be taken into the meeting or told to wait while the organiser starts the meeting.
Normally the Host will control the meeting by muting/unmuting participants, but you can mute your microphone or unmute it; this is in the bottom left hand corner of the meeting window. Also here is the turn on/off for your video.
The other key button is in the top right hand corner that either says speaker view or gallery view. You want gallery view so that you can see everyone on the meeting, speaker view show only one person and that is who is speaking at the time.
You may leave the meeting at any time by clicking on the LEAVE button on the screen. Typically the Host will close and end the meeting for all participants.

Click on the meeting link in the email. It will say Safari cannot open it so Click OK you will be redirected to the App store for the zoom application. Click on the cloud symbol with a down arrow next to the zoom application title which will down load it to your device. Once it has downloaded go back and click on the email invitation again and It will take you into Zoom and it will ask you what name you want to use (this is how you will appear to others in the meeting so don’t be too cryptic!), then just click continue. You will then be asked if it is OK for Zoom to use the camera, say OK, then if you want to join with video, again say OK, next click OK to microphone and audio and then you should be connected.

Video is off (Video camera icon top row with a red line through it) touch and this will turn your camera on, touch again will turn the camera off when it is on the person Icon in the middle of the screen will change to your video camera of you. Click the mute button and that will put a redline through the microphone and mute you, touch again and that will turn the microphone back on with no red line. To End/Leave the meeting touch the red button top left. The … more icon bottom row at the end gives access to chat.
Similar to IPad but you will need to go to the play store to download zoom first. Click on the link and you will see a screen similar to:
Click download from Google Play and once installed the open button will be enabled, don’t click this go back to email and click the link again, you will then be prompted to accept a privacy notice and give access to your camera and photos. You will then be prompted to join with Video and you will then be connected to the meeting or told to wait for the host to let you in. Once in you need to click join audio from a button on the bottom left.
Note for gallery view you have to swipe right on the phone screen.
Note buttons appear in the zoom meeting in different places and some are called slightly different things depending on if you are on a windows, Android or apple device!

Sometimes if the broadband connection is a bit weak the video can freeze. One way to try to solve this is to be as close to your internet wireless hub as possible. If that is not an option, you may have to turn off the video and just use the audio to listen and talk.

If you watch the video ignore the first part about telephone since we can’t use that in the UK, the next part explains about getting set up for the first time on a windows PC/laptop and goes through using the video function and muting/unmuting your audio which is what we want. The explanation of the gallery function will we useful as that will enable you to see other members who are in the call with their Video turned on.
